The Medical Staff Offices serve as the primary administrative interface between the Medical Staff and Site Administration. The System Director of the Medical Staff Office is responsible for daily operations of medical staff services at all Fairview entities across the organization, and partners with system and site leadership to carry out goals of quality, patient safety and patient experience as they relate to the Medical Staff. The Director oversees the operational performance and soundness of core medical staff services and maintains visibility to any relevant industry and/or regulatory trends to ensure all regulatory standards and legal compliance are met.
Effectively manages Med Staff Services support personnel to achieve high performance in all core functions and related responsibilities including but not limited to the following: Physician peer review process, Ongoing Professional Practice Evaluation (OPPE) and Focused Professional Practice Evaluation (FPPE), Credentialing and Re-credentialing, and Administration of Medical Executive Committee (MEC) structures, programs and/or needs for the medical staff across the system except Grand Itasca and Fairview Range.
Ensures overall compliance with federal, state, and local regulations and other requirements (such as Bylaws, The Joint Commission, CMS Conditions of Participation) for staff physicians
Advises the entity Vice Presidents Medical Affairs (VPMA) on policies, procedures and regulatory requirements related to Medical Staff Affairs
Partners closely with the system credentialing office to maintain integrity of credentialing/privileging process and timely completion
Serves as a resource for the medical staff offices of Grand Itasca and Range
Adheres to confidentiality needs and manages sensitive information with a high degree of discretion
Manages with integrity and accuracy, whether directly or indirectly, Medical Staff dues and related financial concerns
Has overall budget responsibility for the medical staff offices across the system
Coordinates work flow and manages resources in the department in a manner that maximizes efficiency and effectiveness across the system, anticipating evolving needs as the system grows and/or changes
Works productively and closely both with cross-functional groups including Quality and Safety, Regulatory and Compliance and Legal and with functional peers and colleagues in the Chief Medical Office (CMO)
Develops, implements and communicates policies and/or procedures as needed, in partnership with senior management
Develops and maintains appropriate, effective communications with members of the medical staff regarding policy and procedural requirements
Manages workload and supervises direct reports
Conducts annual performance reviews with direct reports
Provides direct reports ongoing feedback and coaching throughout the year
Conducts crucial conversations
Initiates formal Corrective Action process, as appropriate
Participates in the interviewing/hiring process
Coordinates and directs new employee orientation
Facilitates goal development and ongoing review of achieving goals
Builds a culture that engages employees
Conducts employee rounding
Recognizes employees for their contributions
Assists with other projects and duties as requested by the CMO, entity VPMA(s), and/or other key stakeholders
Five years in a health care setting working with hospital leadership, medical staff and Joint Commission requirements
Demonstrated ability to effectively navigate a heavily matrixed environment.
Demonstrated proficiency in both written and oral communication.
Demonstrated ability to effectively disseminate complex clinical information to a wide audience including senior leadership
MBA, MHA or Master’s degree in a related field
Three to five years direct supervisory experience
