The Manager of Donor Information position is a key member of the Lions Eye Institute for Transplant & Research (LEITR) Operations Leadership Team providing oversight to the Donor Eligibility and Information department. The Manager is responsible for direct management, training, and day to day operations of the department as well as direct supervision of the staff. In addition to having a working knowledge of the Donor Information and Eligibility process, the Manager of Donor Information must have a firm understanding of the donation industry. The Manager will provide operational and administrative oversight of staff within the department who perform the role of Medical Director Designee, ensuring donors are safely approved for transplant in compliance with internal LEITR Standard Operating Procedures, FDA regulations, AATB Standards, EBAA Medical Standards and other applicable regulatory requirements.
The Manager of Donor Information will also provide oversight of the donor information process on the collection, review, compilation and closure of all tissue donor records.
Develop processes to ensure a high level of customer satisfaction through process improvement and process efficiency to be measured and monitored by established metrics for Ocular and Tissue chart release times. Direct staff to ensure adequate initial and continued training is completed to improve the employee’s knowledge.
Provide staff and departmental oversight of the donor eligibility and review process, including:
Review and organization of LEITR’s active donor board to ensure donors are released as efficiently as possible;
Provide guidance to Donor Eligibility Coordinator and Donor Information Coordinator staff in compliance with internal LEITR Standard Operating Procedures, FDA regulations, AATB Standards, EBAA Medical Standards and other applicable regulatory requirements;
Oversight of training new staff;
Develop and track/trend individual and departmental monthly metrics.
Ensure department provides high level of customer service to all donation partners and represents the company with the highest professional standards at all times.
Ensures all necessary information is entered into LEITR’s database accurately and timely.
Provide internal and external customers with data and performance reports as requested.
Interact regularly with internal department heads to ensure the departments’ operational priorities are aligned with the strategic goals of the organization.
Responsible for recruiting, onboarding, training and ongoing competency assessments for department.
Completes and submits all required training documents in compliance with LEITR policies and procedures within required timeframe.
Responsible for staff/department scheduling ensuring adequate coverage ensuring business needs are met.
Investigates and resolves all internal and external complaints and/or occurrences following LEITR Quality policies.
Continually assess for and introduce process improvement measures
Create and foster a positive work environment within the department that includes open communication, a strong sense of teamwork and promotes staff engagement
Ensures all tissue and ocular chart releases are performed in compliance with LEITR policies and procedures as well as Federal, State and Industry requirements
Ensures regulatory compliance regarding all applicable LEITR, FDA, EBAA, AATB, state and federal standards and regulations
Ensures that policies and practices define what amount/type of available information is obtained to determine donor eligibility
Coordinate with partner tissue and organ donor agencies to share/collect relevant donor information
Interact with Medical Directors and contracted physicians as needed to ensure charts being released are medically suitable
Administers disciplinary actions as appropriate including performance improvement plans, verbal and written warnings and terminations when warranted
Compile monthly metrics to track individual and team performance
Performs other duties as assigned
